Check-in and Registration

How do I check in for my consultation?

When you arrive at UZA, you need to check in and register first. Where you check in depends on your specific situation. Always follow the information provided in your appointment confirmation.

Check in directly at the service where you have an appointment if:

  • you have been a patient at UZA before
  • you are affiliated with and in compliance with a Belgian health insurance fund
  • you have an appointment in the MRI department, preoperative examinations, or radiotherapy
     

You can proceed directly to the route indicated on your appointment confirmation. Once you arrive at the appropriate department, check in at the reception desk and take a seat in the waiting area.

Check in at the central registration desk using the registration kiosk (located to the left of the waiting area in the entrance hall) if:

  • it's your first time as a patient at UZA
  • you are not affiliated with or in compliance with a Belgian health insurance fund
  • you are coming for a work-related accident, expertise examination, study, or as a donor
  • An OCMW (Public Centre for Social Welfare) or another institution is responsible for payment of the costs
     

Take a ticket at the information kiosk and have a seat in the waiting area. Wait until your number appears on the screen, and then check in at the registration counter.

What happens during the check-in process?

For administrative and medical purposes, it is important that your information is fully and accurately recorded. Therefore, we verify your details using the electronic identity card (eID), Kids-ID, or ISI+ card. These cards contain your official name and address information. You will also be asked for your telephone number and general practitioner's name.

Always bring your eID, Kids-ID, or ISI+ card to UZA.

This is important because it allows us to apply the third-party payer system. With this system, you only pay your share of the costs to the healthcare provider (co-payment), and other costs are reimbursed directly by your health insurance. Starting from 01/01/2024, if you don't have your eID, Kids-ID, or ISI+ card with you at the hospital, you will always have to pay a deposit for medical services. Without reading your eID, ISI+ card, or Kids-ID, the regulations no longer allow for the third-party payer system.

Deposit

In some cases, you may need to pay a deposit (advance) of 50 euros:

  • if you are not affiliated with or in compliance with a Belgian health insurance fund
  • if you do not have an address in Belgium or abroad
  • if an OCMW or another institution is responsible for payment of the costs, but you cannot provide a valid payment guarantee
  • if you have overdue unpaid invoices

Identification during your consultation

During your consultation, our healthcare providers will regularly ask for your name, first name, and date of birth. This is necessary to provide you with safe and high-quality care. Correct patient identification is very important as our staff need to know who you are in order to treat you accurately. If they do not ask for this information before a treatment or examination, do not hesitate to bring it to their attention.
